JOB PURPOSE
Under occasional supervision, performs technical, data processing and clerical duties of moderate variety and complexity to maintain accurate and up-to-date student records.
Provides assistance to supervisor, co-workers, students and the general public as required.
Reports to the Principal.
ESSENTIAL JOB FUNCTIONS Gathers and enters into computer all information that is essential to student information and record keeping, including but not limited to demographics, academics, classifications, report cards, schedules, funding information, homebound data, school lunch status, etc.
using the automated school management system, PowerSchool; updates student files as needed.
Develops a timeline for teachers to record grades; enters grades into the computer including summer school, dual credit and virtual school grades; prints grade verifications for teachers, making corrections as marked; prints report cards and interim reports; calculates CRI, GPA and honor rolls; prepares report cards for distribution; prepares related reports for school, District and State Department of Education personnel as required.
Compiles information for and coordinates the preparation of registration booklets and forms, which include program and course descriptions, registration instructions, academic services information, registration calendars, and related information.
Informs administrators and guidance counselors of possible student credit deficiencies or unusual placements (e.
g.
progress report and report cards to include grade verification rosters, failing list of students by grade level to counselors, calculates point averages on graduating students, incoming seniors, and incoming juniors) for the purpose of student success.
Processes enrollment, transfers, withdrawal and summer withdrawal of students, coordination of course assignments and other details with teacher, administrators, and counselors.
Communicates information to parents/guardians related to PowerSchool parent portal.
Assists staff and teachers in using PowerSchool.
Coordinates the transfer of data between school and the District.
Monitors master schedule needs for students and teachers; oversees the preparation of printed schedules and ensures proper distribution; is a contributing member of the school scheduling committee.
Sets up course groups and screens for counselors to enter student requests for new school year.
Works on course requests counts and course sections for the subsequent school year.
Sets master schedule.
Verifies pre-code data is correct for testing.
Closes out computer database for academic year and sets up new database for new academic year.
Enters all new students/ transcript data into historical data and enrolls new students in courses.
Maintains records for all grade changes.
Makes sure students requiring special education services are marked accordingly.
Responds to inquiries and requests for assistance in areas of responsibility.
Attends meetings, trainings, workshops, etc.

Performs related duties as required.
QUALIFICATIONS Requires Associate’s degree, vocational technical degree or specialized training that is equivalent to satisfactory completion of two years of college education with emphasis in computer technology, data processing or a closely related field, supplemented by nine to twelve months of related experience, or an equivalent combination of education, training, and experience that provides the required knowledge, skills and abilities.
Must be able to enter computer data and type with speed and accuracy.
Must possess a valid state driver’s license.
